Agency contractor timesheet export from Apple Calendar
Agencies want rows. You have color blocks. Bridge them with an export, then do the boring portal mapping once—not a full retype of the week from memory.
Written for Agency contractors. Updated 2026-08-02.
Two portals, zero patience
You contract for two agencies with different portals. Both want weekly hours by Friday 3 p.m. Neither cares that you live in Apple Calendar, and both will reject a screenshot.
Rigid forms, flexible calendars
Portals are rigid. Calendars are flexible. Translating between them every Friday without a structured export is unpaid admin that also introduces errors.
Export then map
Keep one calendar per agency, export the week, then map titles into whatever task names the portal demands—without rebuilding timestamps by hand.
Agency Friday
Separate calendars by agency
Never rely on memory to strip the wrong client’s events out of a combined file.
Match their week definition
Confirm Sunday vs Monday starts before export.
Export CSV when uploads are picky
Use XLSX when a human coordinator will open the attachment first.
Map columns deliberately
Copy values into portal fields; do not assume auto-detect is correct.
Two agencies means two calendars
NDAs are not theoretical. A combined export is how titles cross wires. Separate calendars also make Friday selection brainless: tick Agency A, export, tick Agency B, export.
Portals do not speak “calendar”
You will still rename some rows. The win is not zero editing—it is starting from timed facts instead of a blank form and a foggy memory of Tuesday’s workshop that moved thrice.
Policy still wins arguments
If the agency requires their timer, use their timer. Calendar2XL is for contractors allowed to submit spreadsheets or for your personal cross-check before you submit their tool of record. Do not fight policy with a side spreadsheet.
Week boundaries are not pedantry
Some portals want Sunday starts. If your export is Mon–Sun and theirs is Sun–Sat, totals drift and someone spends Monday reconciling. Align the range before you generate the file.
Do not learn twice
- One calendar per agency prevents confidentiality slips.
- Export reduces retyping; it does not remove portal mapping.
- Follow agency policy when they mandate another system.
- Week boundaries matter as much as totals.
Questions people ask
Will Calendar2XL upload hours to my agency portal?
No. It creates local files. You upload or paste using the agency’s process.
What if each agency wants a different format?
Export once per agency calendar, then adapt. CSV for strict templates, XLSX for human review.
Can this replace the agency’s official time tool?
Only if they accept spreadsheet submissions. Otherwise treat the export as your draft or cross-check.
